How can I turn an email into a PDF?

I need to save an entire email thread as a PDF file for our office archives, but I am on a locked-down work laptop. Is there a simple way to export it without installing anything?

had the same thing last month tbh. if you’re in outlook or the browser just hit print and pick save as pdf or microsoft print to pdf. that’s built in so no install. it usually captures the whole thread when you print the conversation. fwiw i do this for my shop email archives too.

Expand the whole thread, then use the email client’s Print option and choose “Microsoft Print to PDF” or “Save as PDF” as the printer. Check the preview for missing quoted messages before saving, and avoid online converters since office emails may contain confidential information.

If you’re using webmail, open the whole conversation and look for Print, then choose “Save as PDF” in the printer list. In Outlook desktop, File > Print usually gives the same option, though attached files need saving separately. Make sure every message in the thread is expanded before printing, otherwise some replies may be omitted.

Easiest way is to just print it. Open the thread, hit Ctrl+P, pick Microsoft Print to PDF (or Save as PDF if you’re in a browser) and it spits out a normal PDF, nothing to install. I do this at the help desk all the time for ticket emails. One tip, expand the whole thread first, otherwise you only get the top message and any images burried in the replies get missed.

I’ve had to do this on a work laptop too. Open the full thread, expand any collapsed messages, then use Print and choose “Save as PDF” or “Microsoft Print to PDF” in the printer list.

If you’re on Outlook or webmail, use the browser’s print function and pick “save as PDF” as the printer, that works without installing anything.

One tip: open the whole thread first so replies aren’t cut off. One thing to avoid: don’t just screenshot it, you’ll lose searchable text and it looks shoddy in archives.

Dealing with locked work computers is always a headache. Just open that email thread and hit the regular print button. When the print menu pops up, change your printer destination to Save as PDF and hit save. If the final file ends up too huge for your archives, I always run it through pdfcap.com in my browser to shrink it down without needing admin rights.

@guest_996848 The print to PDF route is right. If a file ends up too big, I’d try re-printing with a lower quality setting instead of uploading it somewhere, since office archives can be sensitive. Which email client are you on?

honestly locked work computers are so annoying @angus_1979 is right about expanding everything first. i have to do this with patient emails all the time at work and ctrl+p to save as pdf is the easiest way. not sure if it’s the same on mac though.
