Every time I delete a few lines from this PDF on my work laptop, the whole layout shifts and ruins the spacing. How can I remove text without destroying the document’s original formatting?
had the same thing last month with one of my planner pdfs. tbh the layout always shifts if you delete right in the file. i copy everything into word instead, remove the extra lines there, and print it back to pdf. works okay for me even if its a bit extra work.
Use a redaction tool instead of normal text editing: mark the lines, apply the redactions, then save as a new PDF. This preserves the page layout. Avoid covering text with a white box if it’s sensitive, since the original text may still be searchable or recoverable.
If you need the page to look unchanged apart from the removed words, use a PDF editor that supports redaction or object editing, rather than deleting text in Word or converting it first. Redaction permanently removes the underlying text while keeping the page layout fixed. If it only needs to be visually hidden, covering it with a white shape works, but the text may still be selectable underneath.
I see this at the help desk all the time, usually it’s the editor reflowing everything like a Word doc. PDFs keep text at fixed positions, so use a proper editor like PDF-XChange Editor or Foxit and delete the text box itself, the rest should stay put. If it’s a scanned page the text is actually an image, which needs a totally different fix.
I’ve had this with supplier PDFs. Deleting reflows the text, so try a redaction tool if you need it truly removed, or cover the words with a matching white box in a PDF editor if the layout must stay exactly put.
- Make a copy first, obviously, before you start hacking bits out.
- If it’s just a scanned claim type doc, try covering the text with a white box or shape instead of actually deleting it, that keeps the layout intact.
Avoid retyping or deleting whole lines, that’s what’s shifting everything about.
That shifting text is super annoying when you are just trying to fix a simple field report. I usually just cover the words up instead of actually deleting them so the page stays put. You can do this in PDFcap by opening the file and clicking the shape tool to draw a white box over the lines. It hides the text completely without ruining your spacing.
@amy_celtic the white box trick keeps the layout, tbh. Just know the text can still be underneath if it’s sensitive. I’d make a copy first like you said, then cover the lines. What device are you on?
honestly that shifting layout is so annoying. @ClumsyRed i usually just open the file in word like you said or drop a white rectangle over the lines if it is just visual. to be fair i mostly do this from my phone at work, not sure if it is the same on mac.
