Anyone know how to save a document as a pdf?

I need to save a Word doc as a PDF before Friday, but on my work laptop I can’t install anything and the columns keep merging. Anyone know how?

had the same thing last month. just use file save as in word and choose pdf, nothing to install. columns merging is annoying, i check print preview first. try export to pdf if save as messes the layout. fwiw that fixed it for my checklists.

Word already has it: File > Save As, choose PDF. If the columns still shift, use File > Print and select Microsoft Print to PDF, which often preserves the printed layout better. Avoid online converters for work documents, especially anything confidential.

If you have Word installed, use File > Save As or Export, then choose PDF. For the columns, make sure you’re exporting the original .docx rather than copying it into another program first. If Word’s PDF still shifts them, try File > Print > Microsoft Print to PDF, which sometimes preserves table and column layouts better.

We get this at the campus help desk all the time. No install needed, Word has it built in:

  1. Open the doc, go to File > Save As
  2. Pick PDF in the file type dropdown
  3. Save, then open the PDF to check

This keeps your columns from merging. If your Word is too old for that, upload it to Google Drive and download as PDF from there, works suprisingly well.

I’ve had columns shift on work laptops too. In Word, try File > Print, choose “Microsoft Print to PDF”, then check the preview first; if it still merges, change the page orientation or column widths slightly before saving.

  1. In Word, go to File > Export > Create PDF/XPS, not File > Print > Save as PDF, the export option handles columns far better.
  2. Check your columns are set via Layout > Columns, not tabs or spaces pretending to be columns, that’s usually why they merge.

Keep a copy of the original docx before you export, just in case the formatting goes wonky and you need to start again.

Word messing up formatting when saving is super annoying. I deal with field reports doing that all the time. Since you cannot install anything on that laptop, just use pdfcap.com in your browser. You just drag your file in, click convert to PDF, and it keeps all the columns exactly how they look.

@guitar_fan Microsoft Print to PDF is what I’d try too. I keep confidential stuff off online converters as well. Check the page setup and margins before you print, sometimes that fixes the column merging.
